Booking Conditions

These conditions set out the terms on which we accept bookings. Please read them carefully before confirming your travel arrangements.

1. Your Contract

When you make a booking with Flyvia UK, your contract is with Flyvia UK Ltd. A binding contract is formed when we issue a written booking confirmation and receive your deposit. These Booking Conditions, together with any other written information we brought to your attention before confirming your booking, form the basis of your contract.

2. Deposits and Payment

A non-refundable deposit of 20–25% of the total booking cost is required at the time of booking. The exact deposit amount will be confirmed in writing. Full payment is required no later than 10 weeks before the departure date. If a booking is made within 10 weeks of departure, the full cost is payable at the time of booking. Failure to make payment by the due date may result in your booking being cancelled and cancellation charges being applied.

3. Pricing

All prices are quoted in pounds sterling (GBP) and are correct at the time of publication. Prices can change at any time prior to booking confirmation. Once a booking is confirmed and a deposit received, the price is guaranteed except in cases of government-imposed taxes, fuel surcharges, or currency fluctuations, which are outside our control. In such cases, we will notify you as soon as possible.

4. Travel Documents and Visa Requirements

You are responsible for ensuring that all members of your party hold valid travel documents, including passports valid for at least 6 months beyond the return date, and any required visas. Flyvia UK can provide general guidance on visa requirements but it is your responsibility to verify requirements with the relevant embassy or consulate. We accept no responsibility for any loss or expense caused by your failure to obtain the correct documents.

5. Amendments by You

If you wish to make any changes to your confirmed booking, you must notify us as soon as possible. Whilst we will endeavour to assist, we cannot guarantee that changes will be possible. Amendment fees may be charged by airlines, hotels, and other suppliers in addition to our own administration fee of £50 per booking.

6. Cancellation by You

If you wish to cancel your booking, you must notify us in writing. Cancellation charges apply based on how far in advance of your departure date you cancel:

— More than 70 days: loss of deposit only — 43–70 days: 50% of total booking cost — 29–42 days: 70% of total booking cost — 15–28 days: 90% of total booking cost — 0–14 days: 100% of total booking cost

These charges reflect the costs we incur in cancelling the arrangements made on your behalf.

7. Changes or Cancellation by Flyvia UK

We reserve the right to make changes to your booking, which we will notify you about as soon as possible. Minor changes will not entitle you to cancel without a charge. If we are required to make a significant change or cancel your booking, we will offer you the choice of an alternative holiday of equivalent or higher value, a lower-value holiday with a refund of the price difference, or a full refund of all monies paid.

8. Travel Insurance

We strongly recommend that all travellers take out comprehensive travel insurance before departure. You should ensure your policy covers cancellation, medical expenses, personal liability, and any activities you plan to undertake. Flyvia UK accepts no liability for losses that would have been covered by appropriate travel insurance.

9. Our Responsibility

Flyvia UK accepts responsibility for ensuring that the travel arrangements we have agreed to provide are supplied as described and that the services we are responsible for are of a reasonable standard. Our liability is limited to the total value of the affected service. We are not liable for any indirect or consequential losses.

10. Complaints

If you encounter a problem during your holiday, you must inform the relevant supplier and our team as soon as possible. If the matter is not resolved locally, you must submit a complaint in writing to Flyvia UK within 28 days of your return. We are members of ABTA and if we are unable to resolve your complaint, you may refer it to ABTA's dispute resolution service.
